Daily Operations Checklist
These are the tasks that keep the clinic running smoothly every single day. Skipping any of them creates ripple effects: a missed confirmation call means an empty slot; an unlogged medication means a billing gap.
- Confirm all appointments for the day (check automated confirmation status)
- Review patient records for scheduled visits — check for allergies, ongoing treatments, outstanding items
- Confirm morning and afternoon staff coverage
- Check inventory for any items below reorder threshold
- Log all medications dispensed same-day
- Close out all invoices from the day before end of shift
Weekly Management Tasks
Weekly tasks keep the bigger picture in focus. They catch slow-moving problems before they become expensive ones.
- Review appointment fill rate for the upcoming week — identify gaps
- Send recall reminders to clients whose pets are due for annual check-ups or vaccines
- Reconcile inventory counts against software records
- Review outstanding invoices older than 7 days
- Check staff schedule for the following week and cover any gaps
- Follow up on any abnormal lab results sent to clients
Monthly Reviews
Monthly reviews are where you spot trends and make strategic adjustments. Most practice owners skip these or do them inconsistently — and that is why problems like supplier price creep or rising no-show rates go unnoticed for quarters at a time.
- Revenue vs. prior month and same month last year
- No-show rate and cancellation rate by appointment type
- Top 10 services by revenue
- Inventory spend vs. budget — identify items with price changes
- Staff productivity metrics (appointments per provider per day)
- Client retention rate (returning clients / total clients seen)
Client Communication Standards
Consistent client communication directly impacts retention and referrals. Every touchpoint should feel personal, not automated.
Set these as practice-wide standards that apply to every team member handling client communication.
- Appointment confirmed within 2 hours of booking
- Reminder sent 48 hours before via email, 24 hours before via SMS
- Post-visit follow-up within 24–48 hours for surgical or urgent cases
- Annual recall reminder sent 30 days before the due date
- Response to client messages within 4 business hours
Technology and Software Essentials
Modern veterinary practice management is impossible without the right software stack. At minimum, every clinic should have these systems in place and working together.
- Practice management system — scheduling, records, and billing in one place
- Automated reminder and recall system
- Digital medical records with search and export
- Inventory tracking with reorder alerts
- Analytics dashboard for key practice metrics
